Group shared folder on cloud storage (OneDrive)

Shared documents for SANDS use a cloud storage hosted on KAUST SharePoint and sync’ed on your device with OneDrive.

The group SharePoint site is at https://kaust.sharepoint.com/sites/sands.

What matters the most is that you go to the Documents folder here: https://kaust.sharepoint.com/sites/sands/Shared%20Documents/Forms/AllItems.aspx.

Then click on the Sync link. This will open OneDrive and start to synchronize the folder locally on your laptop.

The folder will appear as ~/KAUST/sands - Documents. Unfortunately there isn’t a way to rename it to avoid spaces. Please stick to the default location since we can rely on this path convention when sharing contents that makes assumptions on path names.

This is our group shared folder. It works with OneDrive. The primary use should be for Office documents and other files that you want to share and there isn’t already a simple mechanism in place for that. To clarify, this should not be used for papers (already in overleaf!), source code (already in github!), files in the cluster, etc. This should be used for slides so we avoid sending them over email or slack, instead we take advantage of cloud based storage with versioning and collaborative editing features.

Don’t use this for huge files. Say files above 100 MB probably don’t belong here. A caveat to this is, you might use this folder to Jupyter notebook if we need to collaborate on that. Though these tend to be of a decent size.

There is currently little structure in the shared folder. I envision this will evolve over time. Currently, we will start with a project hierarchy, where each project gets a folder. You can then add files or subdirs as you see fit. As an example, I created one project folder for KDN that Mohammed, Salma and Norah are working on, and one folder for OmniReduce since Jiawei creates slides on a weekly basis for our meetings.

Finally, you should install the OneDrive client to be able to conveniently work with the shared files. OneDrive does allow you to select which folder to make available locally and which ones to keep in the cloud. You can use this feature to manage storage if you are short on space.
